    <title>Dear Reference, Why Am I Still Editing You?</title>

    <summary type="html">&lt;p data-selectable-paragraph="" id="4666"&gt;We recently looked at&amp;nbsp;&lt;strong&gt;100 articles containing close to 1000 author queries&lt;/strong&gt;.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="4419"&gt;Approximately&amp;nbsp;&lt;strong&gt;80% of those queries were related to references&lt;/strong&gt;.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="0bd4"&gt;Missing page numbers. Incorrect years. Journal abbreviations. Volume and issue numbers. Author names. DOIs. Publisher details. Reference formatting.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="b68c"&gt;That number made me stop.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="bc16"&gt;Not because references are unimportant. Quite the opposite.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="8d38"&gt;But because much of the information we are asking authors to provide already exists somewhere else.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="55ab"&gt;So perhaps the question is not:&amp;nbsp;&lt;strong&gt;How can we make reference editing more efficient?&lt;/strong&gt;&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="4818"&gt;Perhaps it is:&amp;nbsp;&lt;strong&gt;Why are we doing so much of it in the first place?&lt;/strong&gt;&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="98ef"&gt;I decided to ask a reference.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="f9c6"&gt;&lt;strong&gt;Me:&lt;/strong&gt;&amp;nbsp;We need to talk.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="abf7"&gt;&lt;strong&gt;Reference:&lt;/strong&gt;&amp;nbsp;Again?&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="0175"&gt;&lt;strong&gt;Me:&lt;/strong&gt;&amp;nbsp;Your journal title is wrong.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="00bb"&gt;&lt;strong&gt;Reference:&lt;/strong&gt;&amp;nbsp;Is it?&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="1d17"&gt;&lt;strong&gt;Me:&lt;/strong&gt;&amp;nbsp;The author supplied the full title. This journal requires the abbreviated title.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="e56b"&gt;&lt;strong&gt;Reference:&lt;/strong&gt;&amp;nbsp;Anything else?&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="5d6a"&gt;&lt;strong&gt;Me:&lt;/strong&gt;&amp;nbsp;Your page range needs checking. The DOI is missing. Your issue number may need to be removed. And one author’s initials do not match.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="931b"&gt;&lt;strong&gt;Reference:&lt;/strong&gt;&amp;nbsp;Can I ask you something?&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="bdba"&gt;&lt;strong&gt;Me:&lt;/strong&gt;&amp;nbsp;Go ahead.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="a4e8"&gt;&lt;strong&gt;Reference:&lt;/strong&gt;&amp;nbsp;I was published in 2012. I have a DOI. I am indexed. Crossref knows who I am. PubMed knows who I am. Why are you asking the author?&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="a347"&gt;That is a fair question.&lt;/p&gt;

&lt;h2&gt;Are we asking authors questions that databases can answer?&lt;/h2&gt;

&lt;p data-selectable-paragraph="" id="1537"&gt;The traditional publishing workflow makes perfect historical sense.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="55de"&gt;Authors supplied references as text. Publishers checked them, corrected them and converted them into journal style.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="ab9a"&gt;The manuscript was the source.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="298d"&gt;But the world around that workflow has changed.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="1e72"&gt;For a journal article with a DOI, Crossref may already hold structured metadata including the title, authors, journal, publication information and DOI. In biomedical publishing, PubMed provides another important source of bibliographic information.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="a124"&gt;Yet we can still find ourselves asking:&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="2a4b"&gt;&lt;em&gt;Please provide the missing volume number for Reference 26.&lt;/em&gt;&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="6bd5"&gt;There is something slightly strange about asking an author in 2026 to investigate the bibliographic details of a paper published in 2004 when machines can retrieve those details in milliseconds.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="79f5"&gt;We are asking the author to reconstruct history.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="804a"&gt;Then we check their reconstruction against a database containing the history.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="ff3e"&gt;There may be a shorter route.&lt;/p&gt;

&lt;h2&gt;Perhaps we have confused the reference with its appearance&lt;/h2&gt;

&lt;p data-selectable-paragraph="" id="c96f"&gt;&lt;strong&gt;Style Guide:&lt;/strong&gt;&amp;nbsp;Excuse me.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="a46b"&gt;&lt;strong&gt;Me:&lt;/strong&gt;&amp;nbsp;I thought you might turn up.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="a33a"&gt;&lt;strong&gt;Style Guide:&lt;/strong&gt;&amp;nbsp;References must be consistent.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="375f"&gt;Absolutely.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="0816"&gt;Consistency matters because it improves readability. A reader should be able to recognise authors, titles, dates and publication information without deciphering a new structure every time.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="1802"&gt;But there is an important distinction.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="da41"&gt;&lt;strong&gt;The bibliographic data and the way we display that data are not the same thing.&lt;/strong&gt;&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="04c6"&gt;If we know that something is an author name, article title, journal, year, volume, issue, page range and DOI, software can render that information according to almost any journal style.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="1bf6"&gt;So why are we manually correcting the presentation when we could first establish the underlying data and then generate the presentation?&lt;/p&gt;

&lt;h2&gt;And does the reader really care?&lt;/h2&gt;

&lt;p data-selectable-paragraph="" id="57a2"&gt;This is where the question becomes slightly uncomfortable.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="f4c9"&gt;Does the researcher reading an article care whether the journal title is abbreviated?&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="b8fd"&gt;Does the reader care whether an issue number appears?&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="6cea"&gt;Does a missing full stop materially affect their understanding of the science?&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="0d1b"&gt;Probably not very much.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="fd33"&gt;What they almost certainly care about is:&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="ea6b"&gt;&lt;strong&gt;Is this the right paper?&lt;/strong&gt;&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="a635"&gt;&lt;strong&gt;Can I find it?&lt;/strong&gt;&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="0cec"&gt;&lt;strong&gt;Does it actually support the statement I have just read?&lt;/strong&gt;&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="beff"&gt;The first two can increasingly be helped by identifiers and trusted metadata.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="bd77"&gt;The third is where things become much more interesting.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="0025"&gt;Because it is perfectly possible to have a beautifully formatted, completely accurate reference that has absolutely no business being attached to the sentence beside it.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="12d9"&gt;We may spend five minutes fixing its punctuation without spending time asking whether it supports the claim.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="7b04"&gt;That seems like an odd use of increasingly scarce editorial attention.&lt;/p&gt;

&lt;h2&gt;The author still has an important job&lt;/h2&gt;

&lt;p data-selectable-paragraph="" id="3b6b"&gt;This does not mean blindly replacing every author-supplied reference with whatever Crossref or PubMed returns.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="2b1a"&gt;Metadata contains errors. Not everything has a DOI or PMID. Books, chapters, datasets, standards, websites, conference proceedings and older publications can be complicated. Different sources may contain different metadata.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="2492"&gt;And sometimes the author has simply cited the wrong paper.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="5dd7"&gt;The author therefore remains responsible for something much more important than punctuation:&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="1032"&gt;&lt;strong&gt;Did I cite the work I intended to cite?&lt;/strong&gt;&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="4a7a"&gt;Perhaps that should become the principle.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="a654"&gt;The author supplies the intellectual connection.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="85ec"&gt;The publishing system resolves the bibliographic identity.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="0aba"&gt;Trusted sources supply or verify the metadata.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="708a"&gt;The journal style determines how it is displayed.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="bac3"&gt;And humans become involved when those things do not agree.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="ef0b"&gt;That changes the workflow from&amp;nbsp;&lt;strong&gt;check everything&lt;/strong&gt;&amp;nbsp;to&amp;nbsp;&lt;strong&gt;check the exceptions&lt;/strong&gt;.&lt;/p&gt;

&lt;h2&gt;What would happen to author queries?&lt;/h2&gt;

&lt;p data-selectable-paragraph="" id="c1b0"&gt;Imagine that Reference 42 arrives without a page range.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="75ac"&gt;Today we might query the author.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="feca"&gt;Tomorrow the system finds the DOI, retrieves the metadata and fills the gap.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="15de"&gt;No query.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="53f5"&gt;Another reference contains the wrong year.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="7478"&gt;The DOI resolves confidently to a publication with a different year.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="ec21"&gt;Instead of asking the author to type the year, perhaps we ask the only question that matters:&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="db54"&gt;&lt;strong&gt;“We believe this is the article you intended to cite. Please confirm.”&lt;/strong&gt;&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="2ce0"&gt;Another reference cannot be identified at all.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="cf29"&gt;Now we query the author.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="f252"&gt;That is a useful query because we are asking the author something the system genuinely cannot determine.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="30c6"&gt;This is not about removing humans.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="ba5d"&gt;It is about stopping humans from doing work that machines can do perfectly well.&lt;/p&gt;

&lt;h2&gt;What could we do with the time?&lt;/h2&gt;

&lt;p data-selectable-paragraph="" id="a8ac"&gt;This, for me, is the more important question.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="85d2"&gt;If&amp;nbsp;&lt;strong&gt;80% of our author queries concern references&lt;/strong&gt;, what happens if we can remove even half of them?&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="c04f"&gt;Authors spend less time answering queries.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="6ce4"&gt;Copyeditors spend less time raising and resolving them.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="8c04"&gt;Production cycles become shorter.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="ee23"&gt;But more importantly, editorial attention can move somewhere more valuable.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="28bf"&gt;Instead of:&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="eff6"&gt;&lt;em&gt;Please provide the issue number.&lt;/em&gt;&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="9ede"&gt;We can ask:&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="0d6a"&gt;&lt;strong&gt;Does this reference support the claim?&lt;/strong&gt;&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="e5d7"&gt;&lt;strong&gt;Has this article been retracted or corrected?&lt;/strong&gt;&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="b3d6"&gt;&lt;strong&gt;Is the author citing the original research?&lt;/strong&gt;&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="053e"&gt;&lt;strong&gt;Is an important piece of evidence missing?&lt;/strong&gt;&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="b20b"&gt;&lt;strong&gt;Is the citation being represented accurately?&lt;/strong&gt;&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="4d02"&gt;Those are questions about scholarship rather than typography.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="afce"&gt;And they are much harder.&lt;/p&gt;

&lt;h2&gt;Maybe the reference needs a new job description&lt;/h2&gt;

&lt;p data-selectable-paragraph="" id="260c"&gt;&lt;strong&gt;Reference:&lt;/strong&gt;&amp;nbsp;So you do not want me anymore?&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="376c"&gt;&lt;strong&gt;Me:&lt;/strong&gt;&amp;nbsp;I did not say that.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="889d"&gt;&lt;strong&gt;Reference:&lt;/strong&gt;&amp;nbsp;It sounded like it.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="a7e6"&gt;&lt;strong&gt;Me:&lt;/strong&gt;&amp;nbsp;I want you to do something more useful.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="8246"&gt;&lt;strong&gt;Reference:&lt;/strong&gt;&amp;nbsp;Such as?&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="76cb"&gt;&lt;strong&gt;Me:&lt;/strong&gt;&amp;nbsp;Stop being a carefully formatted string of text and start being a verifiable connection between a claim and its evidence.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="4dd5"&gt;&lt;strong&gt;Reference:&lt;/strong&gt;&amp;nbsp;That sounds like considerably more work.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="08fe"&gt;&lt;strong&gt;Me:&lt;/strong&gt;&amp;nbsp;For you, yes. Hopefully less for us.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="25a4"&gt;For years, publishing has put enormous effort into making references consistent.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="b929"&gt;There was a good reason for that. Consistency improves readability, and historically the reference itself was our primary bibliographic record.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="43b5"&gt;But the infrastructure has changed.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="91be"&gt;We now have DOIs, PMIDs, Crossref, PubMed and other structured sources capable of identifying large parts of the scholarly record.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="2506"&gt;Perhaps our workflows need to change with them.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="b840"&gt;The author should tell us&amp;nbsp;&lt;strong&gt;what they intended to cite&lt;/strong&gt;.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="7b5c"&gt;Trusted scholarly infrastructure can help establish&amp;nbsp;&lt;strong&gt;what that publication actually is&lt;/strong&gt;.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="e19c"&gt;The journal can decide&amp;nbsp;&lt;strong&gt;how it should look&lt;/strong&gt;.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="613c"&gt;And our editors can concentrate on the question that really matters:&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="7533"&gt;&lt;strong&gt;Does it belong there?&lt;/strong&gt;&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="ceaa"&gt;&lt;strong&gt;Reference:&lt;/strong&gt;&amp;nbsp;So no more queries about my commas?&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="04ee"&gt;&lt;strong&gt;Me:&lt;/strong&gt;&amp;nbsp;Fewer.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="8719"&gt;&lt;strong&gt;Reference:&lt;/strong&gt;&amp;nbsp;I will take that.&lt;/p&gt;

    <title>The Two Lines That Ruined Everyone's Afternoon</title>

    <summary type="html">&lt;p&gt;Somewhere right now, a designer is staring at a page that is two lines too long. Not two paragraphs. Not two pages. Two lines. The trade has a word for text that won't fit its allotted space—&lt;i&gt;overmatter&lt;/i&gt;—and because of those two homeless lines, three people are about to be pulled into a conversation that will outlast the heat death of the print deadline.&lt;/p&gt;

&lt;p&gt;This is copy-fitting. Nobody notices it when it goes well, and everyone notices it when it doesn't—which is the least fair deal in all of publishing.&lt;/p&gt;

&lt;p&gt;&lt;b&gt;What copy-fitting actually is&lt;/b&gt;&lt;/p&gt;

&lt;p&gt;Copy-fitting is the noble art of making a variable amount of text fit into a fixed amount of space without making it look like the text was fed through a trash compactor. It's the set of decisions—typeface, point size, leading, line length, margins, and the length of the copy itself—that get words and layout to stop fighting and shake hands.&lt;/p&gt;

&lt;p&gt;The catch is baked in. Space is finite and stubborn. Writing has a natural length, and that length is almost never "exactly the space available." It's like packing for a trip: the suitcase won't get any bigger, but somehow you always own one more sweater than physics allows. Copy-fitting is the moment someone has to decide whether the sweater or the suitcase gives.&lt;/p&gt;

&lt;p&gt;&lt;b&gt;Why K-12 makes it worse (affectionately)&lt;/b&gt;&lt;/p&gt;

&lt;p&gt;In most publishing, copy-fitting is a craft. In K-12 educational publishing, it becomes a full-contact sport.&lt;/p&gt;

&lt;p&gt;Textbooks are built to a plan, and the plan does not care about your feelings. Page counts are locked by print signatures and budgets, so the book cannot simply grow a page because a paragraph got enthusiastic. A concept is supposed to live on a single spread, so a nine-year-old can grasp long division without a scavenger hunt for the overmatter that has wandered off the page. The worked example, its diagram, its caption, and the practice questions are all expected to appear together, on time, in view, like a well-behaved family photo. Now add grade-level reading requirements, sidebars, callouts, images sized for a reason, and consistency across an entire series.&lt;/p&gt;

&lt;p&gt;Suddenly those two lines aren't cosmetic. Those two lines are load-bearing.&lt;/p&gt;

&lt;p&gt;&lt;b&gt;What happens when nobody fits the copy&lt;/b&gt;&lt;/p&gt;

&lt;p&gt;Skip copy-fitting and the page tells on you immediately. Type gets shrunk to sizes best appreciated by ants, and young readers—already doing the heroic work of learning fractions—are handed eye strain as a bonus. A concept gets bumped to the next page, so the example lives here and its explanation lives &lt;i&gt;over there&lt;/i&gt;, now emotionally distant. Images shrink until their labels become abstract art. Or white space yawns open so wide the page looks like it gave up halfway through.&lt;/p&gt;

&lt;p&gt;None of this is harmless in education. A badly fitted page quietly makes a subject feel harder than it is, and the person who pays for that is the one with the least power to fix it: a kid.&lt;/p&gt;

&lt;p&gt;&lt;b&gt;The many, many rounds&lt;/b&gt;&lt;/p&gt;

&lt;p&gt;Here's the part publishers feel in their bones. Done by hand, copy-fitting is slow, and it is relentlessly iterative.&lt;/p&gt;

&lt;p&gt;The cycle goes like this. The designer lays out the page and discovers the copy runs two lines long. The editor is asked to trim. The author is consulted, because those two lines might be the exact two that make the whole thing make sense. A revised version comes back. The designer re-flows the page. A brand-new problem surfaces further along in the book, because fixing one spread is like stepping on one bump in a carpet. Repeat. Add email threads debating what "just trim a little" means, several marked-up proofs, and at least one message that says "see attached—ignore my last email."&lt;/p&gt;

&lt;p&gt;Multiply that by hundreds of pages and several grade levels, and the rounds stack up—not just in hours, but in sheer coordination friction. Every extra pass is another chance for the wrong version to escape into the wild. It is genuinely skilled work, which is exactly why spending it on "make the carpet flat again" feels a little tragic.&lt;/p&gt;

&lt;p&gt;&lt;b&gt;Spare a thought for the author&lt;/b&gt;&lt;/p&gt;

&lt;p&gt;Copy-fitting also puts the writer in a delightful bind. Authors write to teach, not to hit a character count, and then someone asks them to remove two lines from a paragraph they consider a personal achievement. This isn't just cutting words—it's a pedagogical decision made under spatial hostage conditions. Trim the wrong sentence and the explanation quietly collapses. Refuse to trim and the page breaks. Choose wisely; a nation's understanding of photosynthesis may depend on it.&lt;/p&gt;

&lt;p&gt;And often the author is doing this blind—editing a manuscript while somebody else wrestles the layout in another room, another tool, another time zone. They're solving a visual problem without being allowed to see the visual. It's like being asked to parallel park a car you're describing over the phone.&lt;/p&gt;

&lt;p&gt;&lt;b&gt;The point, minus the jokes&lt;/b&gt;&lt;/p&gt;

&lt;p&gt;Copy-fitting sits right where design, editorial judgment, and pedagogy overlap, and it earns far less credit than its difficulty deserves. The goal was never merely to make text fit. It's to make the &lt;i&gt;right&lt;/i&gt; text fit, in a way that actually serves the reader. That's hard to do well, harder at scale, and hardest of all when the people who love the words and the people who love the page can only ever meet in yet another round of revisions.&lt;/p&gt;

&lt;p&gt;The more that fitting can happen where writing and layout are visible together—early, and to everyone at once—the fewer afternoons get ruined by two lines. And the more the finished page can do what it was always meant to do: get out of the way, so the learning comes through.&lt;/p&gt;</summary>

    <title>What Do We Really Mean by Productivity?</title>

    <summary type="html">&lt;p&gt;Imagine you have a rockstar on your team.&lt;/p&gt;

&lt;p&gt;Give them a task they have done a hundred times, and they can probably finish it in 30 minutes.&lt;/p&gt;

&lt;p&gt;Now you introduce a new system.&lt;/p&gt;

&lt;p&gt;The same task takes 20 minutes in the system.&lt;/p&gt;

&lt;p&gt;You might think that is a clear productivity improvement.&lt;/p&gt;

&lt;p&gt;But the customer says:&lt;/p&gt;

&lt;p&gt;“I used to do it in 30 minutes. The system takes 20. Where is the productivity?”&lt;/p&gt;

&lt;p&gt;At first, it sounds like a fair question.&lt;/p&gt;

&lt;p&gt;But perhaps we are measuring the wrong thing.&lt;/p&gt;

&lt;p&gt;Because the 30 minutes the person remembers may have been the time spent on the core task itself. It may not have included everything that had to happen around that task to get the work from start to finish.&lt;/p&gt;

&lt;p&gt;They had to identify which version of the document was the right one.&lt;/p&gt;

&lt;p&gt;They had to locate and open it.&lt;/p&gt;

&lt;p&gt;They may have checked what changes had already been made.&lt;/p&gt;

&lt;p&gt;They may have manually verified the output.&lt;/p&gt;

&lt;p&gt;They had to move the file to the next person.&lt;/p&gt;

&lt;p&gt;They may have sent an email to let someone know it was ready.&lt;/p&gt;

&lt;p&gt;They may have updated a tracker or recorded the status somewhere else.&lt;/p&gt;

&lt;p&gt;They may have checked that the correct version was being used downstream.&lt;/p&gt;

&lt;p&gt;Each of these activities took time.&lt;/p&gt;

&lt;p&gt;For an experienced person, perhaps only a few minutes here and a few minutes there. Because these steps were routine, familiar and often spread across the working day, they may never have been thought of as part of the “30-minute task.”&lt;/p&gt;

&lt;p&gt;But they were still part of the work.&lt;/p&gt;

&lt;p&gt;And that time matters when we measure productivity.&lt;/p&gt;

&lt;p&gt;The system, on the other hand, may take 20 minutes to perform the visible task. But at the same time, it may also ensure that the correct version is being used, capture the activity, maintain the workflow state, preserve the audit trail, update the status, and make the result available to the next person without another round of manual coordination.&lt;/p&gt;

&lt;p&gt;Those activities do not disappear.&lt;/p&gt;

&lt;p&gt;They are simply being performed by the system instead of the person.&lt;/p&gt;

&lt;p&gt;And because they happen automatically, they become even easier to overlook.&lt;/p&gt;

&lt;p&gt;This creates an interesting problem when we talk about productivity.&lt;/p&gt;

&lt;p&gt;We often compare:&lt;/p&gt;

&lt;p&gt;30 minutes of an expert’s manual task&lt;/p&gt;

&lt;p&gt;with&lt;/p&gt;

&lt;p&gt;20 minutes of the system’s task&lt;/p&gt;

&lt;p&gt;and conclude that the productivity gain is only 10 minutes.&lt;/p&gt;

&lt;p&gt;But that may not be the real comparison.&lt;/p&gt;

&lt;p&gt;Perhaps the manual process was actually:&lt;/p&gt;

&lt;p&gt;30 minutes to perform the task&lt;/p&gt;

&lt;p&gt;· time to find and verify the correct file&lt;/p&gt;

&lt;p&gt;· time to check previous changes&lt;/p&gt;

&lt;p&gt;· time to validate the output&lt;/p&gt;

&lt;p&gt;· time to update the tracker&lt;/p&gt;

&lt;p&gt;· time to communicate the status&lt;/p&gt;

&lt;p&gt;· time to hand the work over&lt;/p&gt;

&lt;p&gt;· time to make sure the correct version moved downstream.&lt;/p&gt;

&lt;p&gt;Some of these activities may take only a minute or two. Others may take longer. Some may happen immediately, while others happen later in the day.&lt;/p&gt;

&lt;p&gt;Individually, they look insignificant.&lt;/p&gt;

&lt;p&gt;Collectively, across hundreds or thousands of tasks, they are not.&lt;/p&gt;

&lt;p&gt;So the better question is not simply:&lt;/p&gt;

&lt;p&gt;How long did the person spend performing the task?&lt;/p&gt;

&lt;p&gt;It is:&lt;/p&gt;

&lt;p&gt;What did it take the organization to get the work from the starting point to the final usable outcome?&lt;/p&gt;

&lt;p&gt;That is a very different measurement.&lt;/p&gt;

&lt;p&gt;And there is another dimension.&lt;/p&gt;

&lt;p&gt;The experienced person may be incredibly fast because they have developed their own shortcuts over years.&lt;/p&gt;

&lt;p&gt;But can everyone do it in 30 minutes?&lt;/p&gt;

&lt;p&gt;Can a new employee?&lt;/p&gt;

&lt;p&gt;Can someone who is less familiar with the process?&lt;/p&gt;

&lt;p&gt;Can they reliably find the correct version?&lt;/p&gt;

&lt;p&gt;Will they know what has already been completed?&lt;/p&gt;

&lt;p&gt;Will they remember every routine check?&lt;/p&gt;

&lt;p&gt;Will they know who should receive the work next?&lt;/p&gt;

&lt;p&gt;Will they update the right tracker?&lt;/p&gt;

&lt;p&gt;Can someone else immediately pick up where they left off?&lt;/p&gt;

&lt;p&gt;And can the organization prove what happened six months later?&lt;/p&gt;

&lt;p&gt;This is where the value of a system becomes much more significant.&lt;/p&gt;

&lt;p&gt;A system is not productive simply because it performs one visible task faster than a person.&lt;/p&gt;

&lt;p&gt;It is productive when it reduces the total effort required to complete the process.&lt;/p&gt;

&lt;p&gt;It is productive when actions that previously required separate manual effort happen automatically as part of the workflow.&lt;/p&gt;

&lt;p&gt;It is productive when fewer people need to spend time finding files, checking statuses, sending routine emails, updating trackers, coordinating handoffs and resolving version confusion.&lt;/p&gt;

&lt;p&gt;And it is productive when the process becomes more reliable, repeatable and less dependent on individual memory and experience.&lt;/p&gt;

&lt;p&gt;This brings us back to the rockstar.&lt;/p&gt;

&lt;p&gt;A rockstar can make a 30-minute task look like a 30-minute process.&lt;/p&gt;

&lt;p&gt;But perhaps it never was.&lt;/p&gt;

&lt;p&gt;Perhaps the rockstar was silently carrying several additional responsibilities around that task, spending small amounts of time throughout the day making sure everything continued to move correctly.&lt;/p&gt;

&lt;p&gt;Those minutes rarely appear in productivity calculations.&lt;/p&gt;

&lt;p&gt;But they exist.&lt;/p&gt;

&lt;p&gt;Multiply five minutes of unmeasured coordination by 20 tasks a day.&lt;/p&gt;

&lt;p&gt;Then multiply that by a team.&lt;/p&gt;

&lt;p&gt;Then multiply it by a year.&lt;/p&gt;

&lt;p&gt;Small amounts of invisible work can become a substantial amount of organizational effort.&lt;/p&gt;

&lt;p&gt;That is why productivity cannot always be measured by putting a stopwatch against a single activity.&lt;/p&gt;

&lt;p&gt;There is also a second productivity gain that is even harder to measure.&lt;/p&gt;

&lt;p&gt;The rockstar knows the process.&lt;/p&gt;

&lt;p&gt;They know where things are.&lt;/p&gt;

&lt;p&gt;They know what to check.&lt;/p&gt;

&lt;p&gt;They know what usually goes wrong.&lt;/p&gt;

&lt;p&gt;They know who needs to receive the work next.&lt;/p&gt;

&lt;p&gt;They have accumulated this knowledge through experience.&lt;/p&gt;

&lt;p&gt;Without a system, much of the process may therefore exist inside the heads of experienced people.&lt;/p&gt;

&lt;p&gt;With a well-designed system, some of that knowledge becomes part of the workflow itself.&lt;/p&gt;

&lt;p&gt;The system knows the current state.&lt;/p&gt;

&lt;p&gt;The system knows the version.&lt;/p&gt;

&lt;p&gt;The system knows what needs to happen next.&lt;/p&gt;

&lt;p&gt;The system maintains the history.&lt;/p&gt;

&lt;p&gt;The system provides the next person with the work and the context they need.&lt;/p&gt;

&lt;p&gt;That changes the productivity equation again.&lt;/p&gt;

&lt;p&gt;The gain is no longer simply:&lt;/p&gt;

&lt;p&gt;30 minutes → 20 minutes.&lt;/p&gt;

&lt;p&gt;It becomes:&lt;/p&gt;

&lt;p&gt;“One person knew how to make the process work” → “the process itself helps people work correctly.”&lt;/p&gt;

&lt;p&gt;That is a much bigger shift.&lt;/p&gt;

&lt;p&gt;The goal of a good system is not to make the rockstar slower.&lt;/p&gt;

&lt;p&gt;It is to make the rockstar’s expertise less fragile, more scalable and more reusable.&lt;/p&gt;

&lt;p&gt;And if we design it well, something even better happens.&lt;/p&gt;

&lt;p&gt;The system raises the floor.&lt;/p&gt;

&lt;p&gt;The average person can perform at a reasonable level without needing years of experience simply to navigate the process.&lt;/p&gt;

&lt;p&gt;And the rockstar gets to raise the ceiling.&lt;/p&gt;

&lt;p&gt;Instead of spending their expertise on finding versions, checking routine steps, moving work between people, updating trackers and answering the same operational questions repeatedly, they can spend it on the problems that actually require exceptional judgment.&lt;/p&gt;

&lt;p&gt;So perhaps the better question is not:&lt;/p&gt;

&lt;p&gt;“Did the system complete this task faster than my best person?”&lt;/p&gt;

&lt;p&gt;It is:&lt;/p&gt;

&lt;p&gt;“What did the system take off the person’s plate that we were not measuring before?”&lt;/p&gt;

&lt;p&gt;That is where productivity often hides.&lt;/p&gt;

&lt;p&gt;It hides in the five-minute email that no longer needs to be sent.&lt;/p&gt;

&lt;p&gt;The tracker that no longer needs to be updated manually.&lt;/p&gt;

&lt;p&gt;The file that no longer needs to be searched for.&lt;/p&gt;

&lt;p&gt;The version that no longer needs to be verified.&lt;/p&gt;

&lt;p&gt;The status that no longer needs to be checked with another person.&lt;/p&gt;

&lt;p&gt;The handoff that no longer needs someone to coordinate it.&lt;/p&gt;

&lt;p&gt;The mistake that no longer needs to be corrected.&lt;/p&gt;

&lt;p&gt;And the knowledge that no longer needs to exist only in one experienced person’s head.&lt;/p&gt;

&lt;p&gt;So, when we evaluate productivity, perhaps we should stop measuring only the visible task.&lt;/p&gt;

&lt;p&gt;We should measure the work around the work.&lt;/p&gt;

&lt;p&gt;Because sometimes the biggest productivity gain is not making a 30-minute task take 20 minutes.&lt;/p&gt;

&lt;p&gt;It is eliminating all the additional minutes surrounding that task that nobody was counting in the first place.&lt;/p&gt;

&lt;p&gt;And at scale, it is making sure that the right work, in the right version, reaches the right person, at the right time, with the right context, without depending on a rockstar to make it happen.&lt;/p&gt;

&lt;p&gt;That is productivity at scale.&lt;/p&gt;</summary>

    <title>Automation Means You Can Go Get Coffee.</title>

    <summary type="html">&lt;p data-selectable-paragraph="" id="43cc"&gt;During a recent demo, we showed StyleFinder, our inference system that takes a raw author manuscript and transforms it into a fully styled, structured manuscript aligned to a publisher’s specifications.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="f721"&gt;They were curious. But cautious.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="3d45"&gt;So they asked us to upload a chapter and run it live.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="7bae"&gt;It was not a small file.&lt;br /&gt;
Fifty pages.&lt;br /&gt;
Three tables.&lt;br /&gt;
Four images.&lt;br /&gt;
Thirty references.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="f9bf"&gt;We uploaded the manuscript and initiated StyleFinder.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="6906"&gt;A small lock appeared next to the file.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="f843"&gt;To us, that lock meant one thing.&lt;br /&gt;
The system had taken responsibility.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="d5a7"&gt;We moved on with the rest of the discussion.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="ef65"&gt;To us, that felt natural.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="6879"&gt;To them, it did not.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="36cd"&gt;They stopped us.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="feb1"&gt;“How long will it take?”&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="2322"&gt;“Three to five minutes,” we said. “Depending on the elements and the number of concurrent users. You will receive a notification when it completes.”&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="8b53"&gt;They were still looking at the screen.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="522c"&gt;“How do I know it is running? I am not seeing the manuscript.”&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="e055"&gt;They were not questioning the capability.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="45d4"&gt;They were reacting to something else.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="c644"&gt;The absence of dependence.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="5418"&gt;We showed them the notifications.&lt;br /&gt;
Initiated. Queued. In progress. Completed.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="33a3"&gt;We opened the job dashboard. Every job was visible. Every chapter. Every book. Its exact state.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="ae82"&gt;The system was working.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="870b"&gt;But it was not asking for attention.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="54c8"&gt;That was unfamiliar.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="f2d4"&gt;Then came the question that surprised us.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="e0de"&gt;“How many chapters can one person initiate?”&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="c020"&gt;We paused. Not because we did not know the answer. But because we had never thought of that as a limitation.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="2b43"&gt;“As many as needed.”&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="7ded"&gt;“Multiple books?”&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="4821"&gt;“Yes.”&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="e3cd"&gt;“At the same time?”&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="b39a"&gt;“Yes.”&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="e93a"&gt;They were searching for the boundary.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="d6f2"&gt;There was none in the way they expected.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="096a"&gt;By then, the notification appeared.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="369b"&gt;Tagging complete.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="69bc"&gt;We opened the manuscript.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="8f0b"&gt;Everything was structured. Styled. Tagged.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="91e3"&gt;No one had watched.&lt;br /&gt;
No one had intervened.&lt;br /&gt;
No one had waited.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="0450"&gt;The system had simply accepted the instruction and finished the work.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="902a"&gt;The conversation changed.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="1a53"&gt;They were no longer evaluating tagging quality.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="e699"&gt;They were trying to understand how work could continue without them.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="f794"&gt;So we asked how it worked in their current system.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="4767"&gt;They answered plainly.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="cf58"&gt;“We start a job. Then we stay there. We watch. We respond if prompts appear. We handle errors if they come up. Only then does it complete.”&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="8cfa"&gt;Not occasionally.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="c318"&gt;Every time.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="4742"&gt;Their system required presence.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="613c"&gt;Ours required intent.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="1fd3"&gt;That was the difference.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="510e"&gt;Most technology in publishing is built as a tool.&lt;br /&gt;
You guide it.&lt;br /&gt;
You stay with it.&lt;br /&gt;
You supervise it.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="ba66"&gt;A system behaves differently.&lt;br /&gt;
You instruct it.&lt;br /&gt;
It proceeds.&lt;br /&gt;
It finishes.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="c414"&gt;Automation is not the ability to start a process.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="9d5e"&gt;Automation is the ability for the process to continue without you.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="d242"&gt;If work stops when you do, then technology is not carrying the workload.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="72e4"&gt;People are.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="016b"&gt;The most revealing moment in that demo was not the speed.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="10bc"&gt;It was the hesitation before they left the screen.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="c43d"&gt;That moment tells you everything.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="8cbd"&gt;Because the hardest part of automation is not building the system.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="02fe"&gt;It is trusting it enough to move on.&lt;/p&gt;

What he brought instead was discipline, attention to detail, and a deep comfort with structured thinking.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="c9ac"&gt;So we chose curiosity over certainty.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="0f56"&gt;We trained Sankar to tag manuscripts, not as a shortcut, but as a way to understand whether technology could genuinely support people who were not shaped by traditional publishing paths.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="18f0"&gt;Sankar did not know EPUB standards. He did not understand the technical language behind many validation messages. What he did have was an EPUB validator that translated those requirements into clear, actionable feedback.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="eaa5"&gt;Using it, he resolved validation issues, corrected errors, and ensured delivery timelines were met. The EPUBs shipped as expected. Deadlines were honored. The process remained calm.&lt;/p&gt;

&lt;p data-selectable-paragraph="" id="22a6"&gt;At that point, a larger question became unavoidable.&lt;/p&gt;

&lt;h2&gt;&lt;strong&gt;What are we really proud of&lt;/strong&gt;&lt;/h2&gt;

&lt;p data-selectable-paragraph="" id="12d6"&gt;Are we proud of Sankar? Without question. He brought focus, accountability, and care to everything he touched.&lt;/p&gt;

&lt;p&gt;But lately, I have been wondering if publishers, especially in the education space, are truly living up to that role in today’s world of rapid technological change. The publishing ecosystem is transforming week after week, and yet, many publishers seem hesitant, even anxious, about embracing the very tools that could make their job easier and their products far more effective.&amp;nbsp;&lt;em&gt;Let’s explore that hesitation a little more deeply.&lt;/em&gt;&lt;/p&gt;

&lt;h2&gt;The Changing Face of Education Delivery&lt;/h2&gt;

&lt;p&gt;Today, education is delivered in three distinct formats:&lt;/p&gt;

&lt;ol&gt;
	&lt;li&gt;Digital only&lt;/li&gt;
	&lt;li&gt;Hybrid (Print &amp;amp; Digital)&lt;/li&gt;
	&lt;li&gt;Print only&lt;/li&gt;
&lt;/ol&gt;

&lt;p&gt;These are not just different modes of delivery, they represent entirely different philosophies of engagement. The digital only model represents agility, accessibility, and immediacy.&lt;/p&gt;

&lt;p&gt;The hybrid model blends the tactile comfort of print with the flexibility of digital. The print only model, on the other hand, remains rooted in tradition, a space that still holds value, but one that increasingly struggles to keep up with the pace of modern learning.&lt;/p&gt;

&lt;p&gt;Now, I understand that not all content is suited to digital or hybrid formats. Some readers and educators still prefer physical books. That’s fine. But what concerns me is the reluctance of publishers, even those working in hybrid or digital models, to truly embrace the technological tools available to them.&lt;/p&gt;

&lt;h2&gt;The Missed Opportunity in Updating Content&lt;/h2&gt;

&lt;p&gt;Here’s the irony: updating content has never been easier.&lt;/p&gt;

&lt;p&gt;We live in a world where information changes overnight. A new discovery, a new statistic, or a change in curriculum can make yesterday’s content outdated. In the past, that was understandable. Revising a printed book meant reprinting entire batches, a time-consuming and costly process. But in today’s digital or hybrid publishing environment, updates can be made instantaneously. The kind of responsiveness that technology allows, and that readers have come to expect in every other aspect of their lives.&lt;/p&gt;

&lt;p&gt;And yet, many publishers&lt;b&gt; &lt;/b&gt;&lt;em&gt;hesitate&lt;/em&gt;.&lt;/p&gt;

&lt;p&gt;They sense the need for quick updates; they even talk about the importance of agility. But when it comes to actually using the tools, whether it’s cloud-based editing platforms, content management systems, or digital publishing software, they pause.&lt;/p&gt;

&lt;p&gt;Why?&lt;/p&gt;

&lt;h2&gt;The Anxiety Behind the Hesitation&lt;/h2&gt;

&lt;p&gt;I think this hesitation stems from two things: a mindset issue and a lack of comfort with technology.&lt;/p&gt;

&lt;p&gt;For decades, publishing has been about control. Control of content, design, and distribution. Once something went to print, it was final. There was a certain pride in that permanence. But in the digital era, content is fluid. It evolves. It can (and should) be changed, refined, and improved over time. That requires a shift in mindset, from being gatekeepers of fixed knowledge to being facilitators of living knowledge.&lt;/p&gt;

&lt;p&gt;The second issue is familiarity. Some publishers, particularly in traditional education sectors, are simply not comfortable with the tools. Technology evolves fast, too fast, perhaps.&lt;/p&gt;

&lt;p&gt;A new software update, a new workflow platform, or a new distribution model can feel overwhelming. But that’s precisely why publishers need to invest in learning and adopting these systems. The discomfort of learning something new is a small price to pay for the efficiency and responsiveness that technology brings.&lt;/p&gt;

&lt;h2&gt;&lt;br /&gt;
The Power of Digital and Hybrid Models&lt;/h2&gt;

&lt;p&gt;Let’s look again at the two formats where this technological transformation can truly shine: "Digital Only" and "Hybrid".&lt;/p&gt;

&lt;p&gt;In both these models, publishers have the ability to:&lt;/p&gt;

&lt;ul&gt;
	&lt;li&gt;Instantly correct errors&lt;/li&gt;
	&lt;li&gt;Update examples, references, and data&lt;/li&gt;
	&lt;li&gt;Incorporate multimedia elements like videos, simulations, or interactive quizzes&lt;/li&gt;
	&lt;li&gt;Personalize learning materials for different regions or student groups&lt;/li&gt;
&lt;/ul&gt;

&lt;p&gt;All of this can happen in real time. No waiting for the next edition, no massive printing costs, no obsolete inventory. Just live, dynamic content that evolves with the learner’s needs.&lt;/p&gt;

&lt;p&gt;And that’s the key point: when publishers use technology effectively, they don’t just make their own work easier, they enhance the user’s experience. The reader, student, or teacher always benefits.&lt;/p&gt;

&lt;h2&gt;A Call to Publishers: Be Brave with Technology&lt;/h2&gt;

&lt;p&gt;So, where does this leave us?&lt;/p&gt;

&lt;p&gt;If the role of the publisher is truly that of a facilitator, then the greatest act of facilitation today is to embrace technology wholeheartedly. To not just digitize content, but to rethink how knowledge is created, delivered, and updated. To see technology not as a threat to traditional publishing, but as a powerful partner that amplifies its reach and relevance.&lt;/p&gt;

&lt;p&gt;Yes, there is anxiety. Yes, change is uncomfortable. But the world of education is moving forward, whether we like it or not. Learners expect immediacy, accuracy, and interactivity.&lt;/p&gt;

&lt;p&gt;If publishers don’t step up and adopt these tools, someone else will.&lt;/p&gt;

&lt;p&gt;It is time we stopped being hesitant and started being bold. After all, the mission remains the same: to disseminate education, build skills, share knowledge, and inspire reading for pleasure.&lt;br /&gt;

If you’ve worked in editorial, design, or production, you’ve received a version of that email. Probably more than once. You squint at the filename, unsure if this is &lt;i&gt;the&lt;/i&gt; final version, or someone’s backup of the final version. Meanwhile, the designer is already halfway through typesetting a PDF that’s “final” too—but from three days ago!&lt;/p&gt;

&lt;p&gt;&lt;b&gt;Welcome to the myth of the master file&lt;/b&gt;. It’s the invisible, often unspoken assumption that somewhere, somehow, someone is holding the correct version of your content. In reality, everyone’s copy is slightly different—and that’s how errors slip through, rework multiplies, and deadlines slip.&lt;/p&gt;

&lt;h1&gt;The High Cost of Version Chaos&lt;/h1&gt;

&lt;p&gt;In publishing, the idea of “version control” is often misunderstood as a nice-to-have technical tool. It isn’t. It’s the spine of your entire operation. Without it, every project operates on crossed wires.&lt;/p&gt;

&lt;p&gt;You lose track of who approved what. You duplicate changes. You make contradictory edits.&lt;br /&gt;
You send the wrong version to press. And no one knows until the damage is done—because there was no clear way to know.&lt;/p&gt;

&lt;p&gt;This chaos isn’t just a digital housekeeping issue. It’s a structural risk. It blocks scale. It slows down response cycles. And worst of all, it erodes the trust of the very stakeholders you're trying to serve—teachers, students, boards, parents and the reader.&lt;/p&gt;

&lt;p&gt;Author feedback comes into to editorial. Editorial pastes those comments into a spreadsheet. The designer, working from a Dropbox link, doesn't know the source file was updated yesterday. Somewhere else, a senior editor has marked up the PDF but forgot to upload it to the shared folder.&lt;/p&gt;

&lt;p&gt;Each team is convinced they’re working from the correct source. But no one is—and the file history has become a game of telephone. Eventually, someone merges two versions. But which edits were right? Which were missed? Who double-checked?&lt;/p&gt;

&lt;p&gt;This is how errors that were fixed in draft 3 resurface in draft 7. This is how rights teams approve old images. This is how reprints happen with wrong tables. And this is how avoidable mistakes turn into embarrassment.&lt;/p&gt;

&lt;p&gt;Each of these lapses adds time, cost, and risk. But because they’re hard to track, they’re rarely budgeted for. And that’s the trap: what feels like a minor inefficiency is actually a compounding operational debt.&lt;/p&gt;

Somewhere in your headquarters, three editors are frantically comparing — by eye — six different Excel sheets of field feedback, each sheet formatted differently, none of them synced with last month’s author queries. By the time your production team patches the file, the opportunity to respond is delayed.&lt;/p&gt;

&lt;p&gt;If that feels uncomfortably plausible, you are already on the wrong side of history.&lt;/p&gt;

Meanwhile, a competitor’s AI‑curated dashboard shows they closed 92 % of teacher‑reported issues within 48 hours this semester. Which publisher will the school choose next year?&lt;/p&gt;

&lt;p&gt;The future will not wait for your comfort zone. &lt;b&gt;Adopting end‑to‑end technology today isn’t just efficiency; it’s survival.&lt;/b&gt;&lt;/p&gt;

Being in the same space myself and confined to an aircraft about to take off, I couldn’t really tune out their rather loud discussion. The gist? They missed the chance to publish a bestseller and were trying to figure out how the manuscript slipped through their fingers and ended up with a lesser-known publisher. Ouch—they must have been hurting.&lt;/p&gt;

&lt;p&gt;Well, I thought to myself, if only they had known about PageMajik’s Manuscript Assessment Tool, they would never have faced such a situation.&lt;/p&gt;

It is yet to be confirmed or determined whether print books are on a decline and whether digital books are on a growth trajectory. There is no deep dived research paper on this. Having said that, it differs from market to market, meaning different countries and also the genre of publishing; K-12, Higher-Ed, Academic, Fiction, Non-fiction, and many more. It is not at a point where one size fits all.&lt;/p&gt;

&lt;p&gt;More and more stakeholders in the publishing industry are looking at ways of managing this integration process, which is complex. Why is it complex? Let us look at four clear paths in the publishing ecosystem.&lt;/p&gt;

&lt;p&gt;&lt;b&gt;Writer/Author:&lt;/b&gt; We can call them &lt;em&gt;creators&lt;/em&gt;. There is traditional writing and now there is assisted writing with the help of generative AI. Surely there is a positive side and flipside to this. &amp;nbsp;Moving on …&lt;/p&gt;

&lt;p&gt;&lt;b&gt;Publisher:&lt;/b&gt; We can call them &lt;em&gt;curators&lt;/em&gt;. This team puts in a lot of effort in editing, copyediting, proofreading, designing, indexing and many more such project related functions to make the content elegant and readable. I observe that many companies are wasting a lot of their time by not embracing current technology, which is available as a ready-to-buy option. My research estimates shows that what could be achieved and delivered in less than 12 hours is now a labored effort spanning 2 to 4 weeks. I have had conversations with many such companies, and have found a resistance to change; they are unwilling to give up their current inefficient systems and adopt technology.&lt;/p&gt;

&lt;p&gt;The &lt;strong&gt;curators&lt;/strong&gt; have to come out of their cocoons, embrace new technology and become efficient and bring in more accuracy in their publishing processes.&lt;/p&gt;

&lt;p&gt;What next after this?&lt;/p&gt;

&lt;p&gt;Distribution, which is the most important function in the lifecycle. This has undergone significant changes, and many are unable to understand or foresee the massive evolution taking place in the models of distribution. I began listing the avenues available for publishers and the list was so lengthy that I decided to not list them. Yes, the traditional book shop is still there lurking, but the models, platforms and opportunity have grown immensely both in physical and digital. We should no longer be talking about current systems, which has been the major reason for the disruption of supply chain in the publishing sector.&lt;/p&gt;

&lt;p&gt;Finally, &lt;strong&gt;Monetisation&lt;/strong&gt;. This is very complex. However, publishers must study this carefully since the new monetisation avenues are bringing the cash back to the publishers faster than the traditional approach of waiting for a period ranging from 90 to 210 days. There are many platforms that have opened this opportunity for Publishers. Medium and Large publishers can thrive and grow with this new medium but smaller publisher may have affordability issues.&lt;/p&gt;

&lt;p&gt;To conclude, the Publishing industry is not about simply digitizing paper content but it is about forcing businesses to adapt their processes and products to accommodate and reach the new customer. Automation is the key.&lt;/p&gt;

&lt;p&gt;There is an &lt;strong&gt;urgent need&lt;/strong&gt; for publishers to examine all their systems and evolve to a more efficient way of handling their business. Evaluating a manuscript, applying technology in the editorial and production process, supply chain management, streamlining and accelerating the monetisation, and many more, can be managed by? Should I say algorithms?&lt;/p&gt;

&lt;p&gt;The market is showing an up-tick in content in genres such as young adult, romance, fantasy, mystery, thriller, historical fiction, science fiction, self-help, to name a few. You have to embrace technology. &amp;nbsp;Content is not regarded as data by the author and the publisher, but it is data for those who drive this via tech.&lt;/p&gt;

&lt;p&gt;Human hand/intervention cannot be done away with. But there is a call to minimize it to be efficient and cost-effective, which results in better profits and more!!&amp;nbsp;&lt;/p&gt;

&lt;p&gt;In the publishing industry, applying styles to a manuscript based on a specific design can be challenging. You need to remember where to apply each style, such as headings, text, lists in special boxes like Case Studies, and the first and last paragraphs in a list.&lt;/p&gt;

&lt;h2&gt;Why is it Important?&lt;/h2&gt;

&lt;p&gt;Applying the correct style is crucial for producing the right output. But it’s easy to forget all the styles for a book, and this can lead to errors. We need an efficient solution.&lt;/p&gt;

&lt;h1&gt;PageMajik’s Solution&lt;/h1&gt;

&lt;h2&gt;The Idea: Auto-prefixing and Auto-applying Style&lt;/h2&gt;

&lt;p&gt;PageMajik’s solution is to let users apply styles as they recognize them, without having to remember all their house styles. For special boxes, users can apply the same style as they do for normal text, and then apply a group style. This removes the need to remember the style for special boxes.&lt;/p&gt;

&lt;h2&gt;How it Works&lt;/h2&gt;

&lt;p&gt;PageMajik’s solution identifies the first and last paragraph within any list and applies a specific style before/after a specific paragraph. This removes the manual work that would have otherwise been necessary.&lt;/p&gt;

&lt;h3&gt;Example&lt;/h3&gt;

&lt;p&gt;Let’s say you have a paragraph style called “Para1” and another paragraph style called “Para2”. You wish to apply a specific style to “Para2” when it is either above or below “Para1”.&lt;/p&gt;

&lt;p&gt;In PageMajik, you can define this auto-style structure in the InDesign template as: &amp;lt;Para1&amp;gt;=&amp;lt;Para2&amp;gt;=&amp;lt;above/below&amp;gt;=&amp;lt;ReplacementStyle&amp;gt;.&lt;/p&gt;

&lt;p&gt;When generating InDesign, PageMajik will automatically apply the “ReplacementStyle” to “Para2” when it is in the specified position relative to “Para1”. This eliminates the manual work of applying the style each time.&lt;/p&gt;

&lt;p&gt;With the traditional method of tagging styles, it would take approximately an additional 5 minutes per chapter. &lt;p&gt;PageMajik uses a predefined structure within the InDesign template for the configuration of auto-styles. On the roadmap is a transition to a more user-friendly interface.&lt;/p&gt;
