Embargo management is integrated with active alerts and reminders during issue compilation.
All production-ready articles are displayed in a dedicated selection interface where you can choose the articles to be included in an issue. The system provides article metadata view functionality, allowing you to review author information, keywords, embargo dates, and other details before selection. Articles can be viewed in preview mode to verify content quality and readiness. Simple filters enable quick searches by article name, while advanced search options allow filtering based on metadata fields such as author, keywords, embargo dates, and publication status.
The system displays warnings if the article composition does not align with specified issue requirements. Embargo dates are actively monitored, with timely prompts appearing during issue compilation to prevent publishing restricted content. Whether you are adjusting embargo dates or managing multiple embargoed articles, the system ensures you stay informed with active alerts and reminders. This validation layer helps maintain compliance and prevents publication errors before they reach final production.
When you submit the issue, the system automatically collects articles along with their images, InDesign files, and PDFs from their respective article type folders and places them in the issue folder for production. This automated gathering eliminates manual file management and ensures all required assets are available in a single, organized location. Version control maintains the integrity of collected files, and the audit trail tracks all file movements for complete transparency.
Articles can be reordered within the issue to achieve the desired publication sequence. The sequencing interface provides drag-and-drop functionality or list-based reordering to arrange articles according to editorial preferences. You can organize content by article type, thematic grouping, or any custom order that serves the journal publication strategy. The system maintains the sequence settings and applies them during PDF generation.
With a single click, the system generates the issue PDF by combining all selected articles in the specified sequence. The combined PDF is automatically made accessible in the Binder tab for review and final production use. This automated generation eliminates manual PDF assembly, reduces production time, and ensures consistent formatting across the entire issue. The generated PDF includes all article content, images, and formatting as specified in the production files.
The authors need not login, they simply can start working from a link. The SmartSubmit page is designed as a actionable dashboard where you can see the status, progress and act on it. The author packets are readily available as downloadables, the working copy is separated from the previous editions and the upload is simple drag and drop. Once uploaded, the art files can be previewed and added with additional information such as permissions, the permission documents, comments to the art team, etc. The author and editorial team can have various discussiion forums established and have back and forth discussion.
